What happens to information when you visit this website or get in touch with us.
Who we are
Ivy Counting House is a bookkeeping practice based in West Monroe, Louisiana. This website is at https://ivycountinghouse.com/.
What this website collects
Not much. We use Google Analytics to see, in aggregate, how many people visit and which pages they read, and Google Ads conversion tracking to learn whether our ads lead to anyone getting in touch. When you visit, Google receives the usual technical details: the page you viewed, the page that sent you here, your browser and device type, and your general location. It also records whether you tapped our phone number or sent the contact form. What you type into the form is never sent to Google. There are no social media embeds, and the fonts are served from our own server.
The contact form uses Cloudflare Turnstile to keep spam out. On the Contact page, Cloudflare checks that a real person is using the form, and to do that it receives technical details about your browser and connection.
Like almost every website, our hosting provider keeps standard server logs. Those record the address a request came from, the time, the page asked for, and how the browser identifies itself. They exist to keep the site running and secure, not to build a picture of you.
Cookies
Google Analytics and Google Ads set a small number of cookies so that repeat visits and ad clicks can be recognised. They do not identify you by name, and we do not use them to follow you around the web with ads. You can block or delete them in your browser, or use Google’s Analytics opt-out add-on, and the site will work exactly the same. Cookies are also used when someone signs in to administer the website.
When you get in touch
If you use the form on our Contact page we receive your name, phone number, email address and whatever notes you add. If you email us instead, we receive whatever you choose to send. Either way it is used to reply and to work out whether we are the right fit for each other.
We do not add you to a mailing list, and we do not sell, rent or trade contact details to anyone.
Client information
Bookkeeping means handling financial records. If you become a client, we will have access to things like bank and card transactions, invoices, and the accounts they sit in.
That information is used to do the work you have engaged us for, and nothing else. We do not sell it. We share it only with the people you have told us to share it with, your CPA or tax preparer for example, or where the law requires it of us. Access is limited to those who need it to do the work.
How long we keep it
Form submissions are stored on this website as well as emailed to us, so that nothing is lost if a message fails to send. Emails stay in the mailbox unless you ask us to remove them. Client records are kept while we are engaged and for a period afterwards, in line with the record-keeping obligations that apply to the work.
If you want something specific removed, ask. We will tell you plainly what we can delete and what we are obliged to keep.
Asking us about your information
You can ask what we hold about you, ask us to correct it, or ask us to delete it. Email us and we will tell you what there is and what we are able to remove.
